Terms & Conditions for
Participation in IOTA Events

1. Scope and Applicability

These Terms and Conditions ("Terms") govern your participation in any in-person event (“Event”) organized or co-organized by the IOTA Foundation or its affiliates (“IOTA”, “we”, “us”, or “our”). By registering for and/or attending an Event, you confirm that you have read and understood these Terms and that you agree to be bound by them.

These Terms also include information on how your personal data is collected and processed in connection with your participation. If you do not agree to these Terms or the data processing practices, please do not register for or attend the Event. Participation is entirely voluntary and attending the Event will be considered as your acceptance of these Terms in full.

If the Event is co-hosted with third-party organizations, additional terms, disclaimers, or data practices may apply. IOTA does not assume any responsibility for the actions or data processing activities of third parties, unless explicitly stated otherwise.

2. Registration and Admission

Participation in an Event is voluntary and requires advance registration, which may be managed through third-party platforms like Luma.

By registering and attending an Event, you confirm that you are at least 18 years old and legally able to agree to these Terms. We reserve the right to verify your identity at the venue with official identification matching your registration details.

Admission is subject to capacity and applicable safety regulations. While registration is required, it does not guarantee admission. Unless otherwise specified, entry will be on a first-come, first-served basis. On-site registration is dependent on available space and may require digital sign-up. IOTA and venue staff may refuse entry or remove attendees to ensure safety, orderly conduct and compliance with these Terms.

We reserve the right to modify or cancel the Event, in whole or in part, at any time. This includes potential changes to the schedule, speakers and the overall Event program. While reasonable efforts will be made to provide advance notice of any changes, this may not always be feasible. All Event changes are made at the sole discretion of IOTA, its partners, and Event venue personnel, and will not result in any liability or compensation to participants.

3. Conduct

During the Event, you agree to conduct yourself in a lawful, respectful, and considerate manner at all times, and to comply with all instructions issued by Event organizers or venue personnel. This includes adherence to any applicable health and safety protocols, venue rules, and access restrictions.

Harassment, discrimination, hate speech, violence, or any other inappropriate behavior will not be tolerated under any circumstances. IOTA reserves the right to refuse entry or remove any individual from the Event without prior notice if their conduct violates these Terms, applicable law, or compromises the safety or enjoyment of other attendees or the Event at large.

4. Responsibility

You are solely responsible for your actions during the Event and agree to indemnify and hold harmless IOTA, its employees, contractors, sponsors, partners, and affiliated entities from any damage, loss, or liability that may result from your conduct, to the extent permitted by applicable law. This includes, but is not limited to, claims related to injury, property damage, breaches of these Terms, violations of law or third-party rights, reputational harm, or privacy violations. It also extends to indirect damage such as legal fees or regulatory penalties resulting from your actions. This indemnity shall not apply where any such loss is caused by our own gross negligence or willful misconduct.

You are solely responsible for your personal belongings. IOTA assumes no liability for any lost, stolen, or damaged items.

5. Data Collection and Privacy

By registering for and participating in this Event, you acknowledge and agree that IOTA will collect and process your personal data for the purpose of organizing, managing, and evaluating the Event. This may include:

  1. Your personal details, including your name, email address and other contact details;
  2. Your on-chain details, such as your on-chain address;
  3. Your professional background, including the name of your company, your role and other professional background information;
  4. Your social media profiles, including your profile on GitHub or other social media platforms;
  5. Information about your attendance, such as information about previous Events that you have registered for;
  6. Dietary information, if necessary for the purpose of organising the Event;
  7. Other details that you provide as part of the Event registration process or in connection with the Event.

The registration process may include additional questions relevant to the specific Event, such as affiliation or attendance preferences.

IOTA acts as the Data Controller for this processing activity. The registration platform (Luma) operates as a Data Processor on behalf of IOTA and processes data strictly in accordance with IOTA’s instructions and applicable contractual safeguards.

Your personal data is processed in accordance with applicable data protection laws, in particular the EU General Data Protection Regulation (GDPR), where it applies based on your country of residence. The primary legal basis for processing is the performance of a contract, namely your participation in the Event.

Depending on the context, additional legal bases may apply, such as compliance with legal obligations (Art. 6(1)(c) GDPR or equivalent laws) or the pursuit of legitimate interests (Art. 6(1)(f) GDPR or equivalent laws), for example, to ensure the security and integrity of the Event. In cases where specific uses require it, such as the inclusion in media content, participation in surveys, or post-event communication, your explicit consent will be obtained in advance.

Personal data may be shared with co-organizers, venue operators, or service providers (e.g. for security, catering, check-in or access control) strictly on a need-to-know basis and only to the extent necessary for delivering the Event.

Your data will not be used for unrelated marketing purposes without your prior consent. Luma is contractually bound to implement appropriate safeguards, including technical and organizational security measures and, where required, lawful cross-border data transfer mechanisms such as Standard Contractual Clauses (SCCs). 6. Consent Regarding Photography and Media Use

By entering the Event premises, you consent to IOTA and/or authorized third parties documenting the Event through photographs, video, and/or audio recordings. These recordings may capture your image, likeness, voice, or other identifiable attributes, whether individually or in group settings.

You hereby grant IOTA and its affiliates, partners, sponsors, and licensees a perpetual, worldwide, royalty-free, irrevocable, transferable, and sublicensable license to use, reproduce, adapt, edit, distribute, publicly display, and publish such images, videos and recordings in any format or medium, whether digital, print, online, or broadcast, for promotional, editorial, educational, archival, or commercial purposes in connection with the Event or IOTA’s work to support and promote the IOTA ecosystem. This includes, without limitation, inclusion in marketing materials, reports, social media posts, livestreams, or future event promotions.

If you do not wish to be photographed or recorded, please inform a member of the Event staff upon arrival. While reasonable efforts will be made to accommodate such requests (e.g., through reserved seating or camera avoidance), full exclusion from broad-angle shots, crowd imagery, or background capture in a live event environment cannot be guaranteed.

You waive any rights of review or approve how your image, likeness or voice may appear and acknowledge that you are not entitled to compensation for such use by IOTA or its partners. You further release IOTA and its partners from any liability associated with the use, publication, or distribution of such images, videos and recording.

7. Event Presentations and Content

The content shared or presented during the Event, whether delivered through presentations, workshops, panels, informal discussions, or other means, is intended solely for general informational and educational purposes. It does not constitute any form of investment, professional, financial, technical or legal advice, nor should it be interpreted or relied upon as such.

IOTA does not make any warranties, express or implied, as to the accuracy, completeness, reliability, or validity of the information provided during the Event. All views expressed by speakers, panelists, or other participants are their own and do not necessarily reflect the views or official positions of IOTA or its affiliates.

You are solely responsible for evaluating the suitability of any ideas, information, or strategies shared, discussed or otherwise obtained at the Event, and for any decisions or actions you take based on such information. Under no circumstances shall IOTA be held liable for any direct or indirect consequences resulting from your reliance on any Event-related information.

8. Intellectual Property

Unless otherwise stated, all materials made available in connection with the Event, including but not limited to presentations, pitch decks, workshop materials, slides, handouts, documentation, images, videos, recordings, trademarks and branding are the intellectual property of IOTA, its partners, or individual speakers and contributors.

These materials are protected by applicable intellectual property rights, including copyright, trademark, and design rights. You are granted access solely for personal and non-commercial use unless otherwise explicitly permitted. You may not record, reproduce, publish, modify, distribute, or otherwise exploit such content in any manner without obtaining prior written consent from IOTA or the relevant rights holder. Misuse or unauthorized dissemination of Event content may result in legal action.

Where materials are shared for public use, e.g., under a Creative Commons or similar license, the conditions of such specific licenses apply to such materials only. Other materials may not be used without the express permission of its rights holders.

9. Limitation of Liability and Disclaimer

Your participation in the Event is voluntary and at your own risk. You are solely responsible for maintaining adequate health, liability, and accident insurance, particularly in relation to any injuries or damages that may occur during your travel to or from the Event, or during your participation in the Event. You agree to receive appropriate medical care and emergency transport at your own risk in case of a medical emergency.

To the maximum extent permitted by law, you release IOTA, its employees, partners, contractors, sponsors, and affiliated parties from any and all claims, damages, or demands arising in connection with your participation in the Event, including, but not limited to, bodily injury, property damage, illness, data loss, or similar incidents.

You expressly waive the right to take legal action against IOTA unless any damage results from intentional misconduct or gross negligence on the part of IOTA. Liability for ordinary negligence is excluded unless it concerns essential contractual obligations.

This release of liability also applies to your heirs, legal representatives, and successors. By participating in the Event, you acknowledge that you are aware of the associated risks and accept them in full.

10. Governing Law and Jurisdiction

These Terms shall be governed by and construed in accordance with the laws of the Federal Republic of Germany. Exclusive place of jurisdiction shall be Berlin, unless otherwise required by applicable mandatory law.

ANY DISPUTES ARISING IN CONNECTION WITH THESE TERMS OR PARTICIPATION IN AN EVENT SHALL BE RESOLVED THROUGH BINDING INDIVIDUAL PROCEEDINGS, EXCLUDING CLASS ACTIONS OR COLLECTIVE REDRESS MECHANISMS.

11. Final Provisions

Should any provision of these Terms be held to be invalid or unenforceable, the remaining provisions shall remain in full force and effect. IOTA reserves the right to update or modify these Terms at any time. The version published at the time of your registration shall apply.
